Sessions Times

Our session times are: 8am to 6pm – funding times are as follows, Universal funding you can claim 6 hours in any one day up to a maximum of 12 hours of funding for 47.5 weeks of the year.  Extended funding you can claim 8 hours of funding in any one day to a maximum of 24 hours for 47.5 weeks of the year.

Eligible Two Year Olds

Universal funded hours are available to some 2 year olds whose parents are on no or low incomes. Parents must apply online for a place with Bristol City Council www.bristol.gov.uk/freeplacefortwos and be checked for eligibility before a funded place can be offered.

Eligible 2 year old funded hours are available to eligible children from the term after their 2nd birthday. From September 2025 some parents will be able to use both Eligible 2 year old universal hours and Working Parent Entitlement hours at the same time, prioritising their Eligible 2 year old universal hours first.

We will be able to offer 12 Working Parent Entitlement funded hours per week

Parents of 3 and 4 year olds can use both universal and Working Parent Entitlement funded hours in combination (i.e. 24 funded hours per week)

Eligibility Codes (for working families)

  • Eligibility codes need to be reconfirmed every 3 months. The eligibility code will remain the same after reconfirmation. It is the parent/carer’s responsibility to keep their child’s eligibility code valid at all times.
  • Verification checks will be made on Bristol City Council’s Provider Portal, using the following data:
    1. Your 11-digit eligibility code
    2. Your National Insurance Number(s)
    3. Your child’s date of birth
    4. Your written consent(s) from your signed EYR1 Parental Declaration Form to verify eligibility.

Once the code is verified, you will be contacted to discuss sessions.

  • Grace Periods – If you do not reconfirm the eligibility code and the code becomes invalid, the ‘grace period’ starts. The grace period is a short period of time where a child can still access their Working Parent Entitlement / funded hours. Once the grace period has expired:
  • Under 2s from working families will have to pay for all childcare provision privately.
  • 2 year olds from working families will have to pay for all childcare provision privately but may be eligible to apply for an Eligible 2 year old place if they meet the criteria (see above for the weblink).
  • 3 and 4 year olds from working families will only be able to access their universal funded hours and must pay for any additional childcare provision.
  • If this happens, we will discuss what to do about the sessions you have lost. Codes which are already in their grace period must be reconfirmed before claims can be made for Working Parent Entitlement.
  • Bank Holidays are not funded by Bristol City Council. If your funded hours fall on a bank holiday, the funded session will not be rescheduled.

All about Admissions

Admissions are made on the following basis:

  1. Require full days 8 – 6pm
  2. Require all year round AYR 52 weeks of the year
  3. Have siblings in the setting already
  4. Returning customer who require full days and AYR
  5. Staff childcare requirements
  6. Business needs depending on available days and waiting list
  7. Most immediate start date requirement

All about Payments

Refundable Deposits for privately paid hours only

We charge a refundable deposit of £125 per child which will be returned in the first month’s invoice.  Non refundable if place is not taken up.

Registration Fees for Privately paid for hours only

We charge a registration fee of £75 for the first child £40 for subsequent siblings which is paid upon registering for a place. This is a non-refundable fee.

There is no deposit or registration fee charged for funded place only.

Tax Free Childcare (for paid childcare and consumables)

We are registered to offer Tax Free Childcare. Parents can check eligibility and apply for Tax Free Childcare via www.childcarechoices.gov.uk. Tax-Free Childcare is the system that is gradually replacing the old childcare voucher scheme – paying for childcare though the employer.

Invoicing

We invoice on a month in advance basis. Invoices are usually sent out on the 15th of the month and payment is due by the 28th of the month.

Invoices clearly state the funded hours are given with no additional charges, and privately paid for fees are listed separately and are all inclusive, except for nappies, we do not provide nappies for any age group.. This means our privately paid for fees include – but are not limited to – the below:

SUSTENANCE:  mid-morning drinks and snacks, cooked two-course hot lunch, supplied by Mini Meals a local catering company who provide Early Years meals to many local nurseries.  A mid-afternoon drink and snacks and High Tea – prepared fresh on site every day by our highly experienced Kitchen Staff. Children enjoy meals around the table – wonderfully supporting their social skills, where they can enjoy conversation and discuss the meals on offer.  We sincerely believe children hugely benefit from the wonderful tastes and textures – not only from a nutritional perspective, increasing the ranges of foods your child’s palette may be exposed to, but also from the social side of dining with their friends.

PERSONAL CARE:  wipes and creams, biodegradable nappy sacks for sending home wet/dirty clothing. Removal of all PPE and nappy waste by Greenbottoms waste company who recycle the nappies for things like road resurfacing.

OUTINGS AND EVENTS: The children participate in many different events throughout the year, some being, Graduation, Christmas Play, visits to the park, shops and cafes locally as well as outings further afield.  We also provide refreshments.

Payment of Paid Childcare

Privately paid childcare is charged daily depending on number of days the child does.  Please see sperate fee sheet for privately paid for hours.

Payments from 3rd Parties (Colleges and Universities)

Funded hours cannot be claimed at the same time that they are paid for by a third party. We will need to receive written confirmation as soon as possible can work out which hours are a) paid by the college / uni, b) covered as funded hours and c) paid for by you. Student parents may not always be eligible for Working Parent Entitlement/ Working Parent Entitlement childcare unless they meet the eligibility criteria found here www.childcarechoices.gov.uk

Sibling Discount

We do offer a sibling discount of 5% and this is taken off the older sibling rate in all occasions.

Late Collections

We charge £15 for every 15 minutes a parent is late or part of that 15 minute.  This will be automatically added to your invoice. E.g. 20 mins late will incur a £30 fee.

Notice Periods

Parents are asked to make a termly commitment. This means that once parents sign the EYR01 Parental Declaration Form a contract is made. If parents then decide to transfer to another provider, funding will not always be re-directed to your new childcare provider until the start following term (Sept, Jan, April). The only group who can give a shorter notice period are Eligible 2 year olds who only need to give 1 months’ notice. Please approach me directly to discuss this. For privately paid for hours our notice period of 1 months’ notice, ending on the last session attended at the end of the month.

As a data controller, we must comply with the Data Protection Law. Hyperlinks to Bristol City Council’s own Data Protection Policy and Privacy Notice will be shared via the EYR1 Parental Declaration form.
